CLICKUP FOR MARKETING AGENCIES

How OnMedia's Founder Handed Daily Follow-Up to Four Agents

Industry: Marketing agency | Employees: 1–10 | Use case: Unified sales CRM, client delivery, and AI-driven operations

OnMedia is a Nairobi digital marketing agency where sales, client delivery, marketing, and ops all run in one ClickUp workspace. Founder Daniel Ndege built four Super Agents that surface overdue work, keep deals moving, and turn a one-line request into a scoped task with an owner, so follow-up no longer routes through him.

"We used to lose things in the gap between noticing a problem and getting it onto the board.

Now I describe it in a sentence and it comes back as a task in the right list, with the right owner and enough detail for someone to pick it up. That one change has been worth more than any of the flashier AI use cases."

AT A GLANCE

What changed when the workspace started flagging its own risks

OnMedia produces SEO campaigns, website builds, content, and paid media for Kenyan brands, and for a long time every one of those threads was tracked by the founder personally. Consolidating the agency into one ClickUp workspace and putting four Super Agents on top of it changed who does the chasing. Risk now arrives already sorted, deals update themselves when prospects reply, and a bad reporting number gets caught before it drives spend.

Before ClickUp : When one person carried the whole agency's follow-through

Until recently, OnMedia ran on the founder's attention. Daniel chased the day across boards and message threads, worked out what had slipped, and turned every client meeting into next steps by hand. Deals lived in memory, WhatsApp, and half-remembered conversations, so pipeline context depended on him recalling it. None of this was disorganized. It was the natural cost of a small team producing SEO, web, and paid work at once. But the delay between spotting a problem and acting on it kept stretching.

After ClickUp : Agents scan overnight, deals update themselves, notes arrive scoped

Now the workspace holds the whole business. Sales runs as a real CRM on linked Deals, Companies, People, and Outreach lists with a defined pipeline, while client delivery and OnMedia's own marketing sit beside it. Four Super Agents keep it honest: Ops AI surfaces overdue and unowned work daily, Sales Ninja reads the inbox and moves deals when prospects reply, Deadline Dale guards delivery dates, and Ticha tracks the team's upskilling.

When one client's ad numbers looked inflated, the diagnosis became owned fixes in the same session, protecting media spend from revenue the ads never produced.

Q: What's the most surprisingly useful thing ClickUp Brain or a Super Agent has done for your team?

A: "The Jeota website rebuild. Ops AI didn't just tell us the project was in trouble. It surfaced the exact cluster of overdue work, helped us replan it when we asked, and then went back and checked that the overdue work had actually been cleared. Summarising tasks is useful but expected. Following up to confirm the fix actually happened is what you'd want from a good ops person, and it isn't what I assumed an AI agent in a task tool would do."
