How ISG's Program Designer Stopped Reconciling Dates by Hand

Industry: Professional services | Employees: 1,000+ | Use case: Enterprise program and training delivery management

ISG is a global technology research and advisory firm, and inside one large enterprise engagement its program team runs a course training tracker that used to be reassembled by hand out of Excel, Microsoft Project, Google Docs, and Notepad. System Designer/Developer Larry Cortez moved all four into a single ClickUp workspace, where he switches AI models mid-conversation in ClickUp Brain to design and then build, and four Super Agents hold the dates, the risk flags, the daily briefings, and the assignment notices.

Hear from our ClickUp Ambassador at ISG

"ClickUp turned our procedures into defaults:

the tracker mostly runs itself now, and the team spends its time doing the work instead of reporting on it."

AT A GLANCE

The reconciliation hour that stopped repeating

Sixteen days is an aggregate. It comes from the hour of reconciliation Larry no longer spends, the follow-up round that chased it, and the weekly status document leads stopped waiting for once dashboards went live. He designs with a thinking model in ClickUp Brain, then switches models mid-conversation to build, which is how a few hundred tracker tasks got batch-edited in an afternoon. Microsoft Project, Excel, Google Docs, and Notepad all came out.

~16 days

of human time saved in the last 30 days

Hundreds of tasks

batch-updated in one afternoon, not a week

4 Super Agents

built from plain-language rules, running in production

Before ClickUp : Larry was the only place the four tools met

Larry spent about an hour every Monday cross-checking target dates and percent complete against the plan, then sent the round of follow-up messages that hour produced. He kept the task data in Excel, the schedule in Microsoft Project, the reporting in Google Docs, and whatever fit nowhere in Notepad. Bulk changes meant clicking into tasks one at a time, so when a few hundred needed updating the honest estimate was days of team time. All of it, in his words, repetitive coordination work that produced no new output.

After ClickUp : Larry writes the rule once and stops checking

Larry writes rules now instead of enforcing them. He told ClickUp's Agent Builder in plain language, to keep Target Finish Date twenty-one days past Target Start Date, flag a task At Risk when completion slips under target near its due date, and notify the assignee. He got the date-sync agent working on the first try; the At Risk thresholds took a little tuning to stop false positives. Setup was faster than expected, an afternoon rather than a project. He takes the day's status from Briefing Bryn, new assignees get theirs from Assignment Alex, and a fourth agent is in testing. Leads read live dashboards,so the program shows real status on any day rather than assembled status on a Monday.

Q: What's the most surprisingly useful thing ClickUp Brain or a Super Agent has done for your team?

A: "The Excel export template. I expected advice about how to do an export. Instead Brain handed back an actual ready-to-use template built around our list's real statuses and fields, and it flagged that one custom field didn't exist yet before we tried to import. That was the 'wait, it can do that?' moment for the team."
