How to Use This in ClickUp

Apply the template to your Workspace

Open the ClickUp Template Center, search for SOP Management, and apply the template. It creates a Folder with category Lists and Doc templates.

Create a new SOP Doc

Navigate to the appropriate category List, create a new Doc, and apply the SOP Doc template. Fill in Custom Fields for SOP number, owner, and review frequency.

Write procedure steps with embedded links

Draft each step in the Doc. Use @mentions to tag responsible team members and embed linked tasks where the step connects to a trackable action.

Route for review using task assignments

Change the SOP status Custom Field to In Review. Assign the review task to the process owner and subject matter expert. They edit the Doc directly and comment on specific sections.

Approve and activate the review cycle

Set the status to Approved. The recurring review task automation triggers based on the review frequency Custom Field, assigning the next review before the due date.

Watch Out For

  • ClickUp Docs version history tracks every save, which can create noise. Establish a convention for meaningful saves versus mid-draft edits so reviewers can find the actual revision points.
  • The recurring task for review reminders must be set on the SOP Doc's parent task, not the Doc itself. Docs do not have native due dates.
  • Custom Fields on Docs are Workspace level. If multiple teams create SOP Docs with different Custom Field needs, plan the field schema before building to avoid field sprawl.
  • The free plan limits Automations to 100 actions per month. Teams with 30 or more SOPs on quarterly review cycles may exceed this limit during review months.
