How to Use This in Word
Download and rename
Open the .docx file in Microsoft Word. Immediately Save As with your naming convention (e.g., SOP-OPS-042-Equipment-Calibration).
Fill the version control header
Enter the SOP number, set revision to 1.0, today’s date as effective date, your name as author, and a review date 12 months out.
Write the procedure steps
Replace placeholder rows with your actual steps. Each step should be one action performed by one role. Add or remove rows as needed.
Route for review with Track Changes
Enable Track Changes (Review tab), then share the document with your process owner and SME for markup. Accept or reject changes when returned.
Finalize and distribute
Update the revision number, save a PDF copy for distribution, and store the .docx master in your shared drive with restricted edit permissions.
Watch Out For
- Word does not prevent someone from editing an approved SOP without creating a new revision. Protect the document after approval (Review tab, Restrict Editing) and require the author to unlock it, increment the version, and record the change before editing.
- Emailing Word files creates version fragmentation. Two people editing the same SOP from different email attachments produces two divergent documents. Store the master in a shared drive with restricted edit permissions and distribute only PDF copies.
- Word does not notify you when a review date passes. Set a calendar reminder for the SOP owner 30 days before each review date, or manage review cycles in a task management tool.
- If the procedure table spans multiple pages, apply Repeat Header Rows (Table Properties, Row tab) so the column headers appear on every page. Without this, readers on page 3 cannot see what each column represents.
