How to Use This in Word

Download and open in Word

Open the .docx file in Microsoft Word. Save As with your analysis naming convention (e.g., SWOT-CRM-Strategy-Q3-2026).

Write the executive summary first

Articulate the strategic question the SWOT answers in one to two sentences. This frames every factor you add to the quadrants.

Fill threats and weaknesses first

Start with vulnerabilities to prevent optimism bias. Each factor should be one specific, evidence-based statement.

Complete strengths and opportunities

Add internal capabilities and external openings. Delete the gray prompt questions as you replace them with your factors.

Translate factors into the action items table

For each high-priority factor, assign an owner, set a deadline, and define the next concrete action.

Watch Out For

  • The 2x2 table works best with 6 to 8 factors per quadrant. Beyond that, the formatting breaks and the single-page advantage disappears. Use the weighted SWOT framework for complex analyses.
  • Word is not ideal for live workshop facilitation. Use a whiteboard tool during the session and transfer results into this template for the formal deliverable.
  • Color-coded cells print as gray on monochrome printers. Each quadrant also has a text label (S, W, O, T) to maintain readability without color.

Yes, but keep it to 8 factors or fewer per quadrant. To add space, click inside the quadrant cell and press Enter to create new lines. The cell expands vertically but may push the matrix onto a second page.
