How to Use This Template
Set the Objective
Fill in the objective statement before the brainstorming session begins. A focused objective like "Evaluate our competitive position in the mid market CRM segment" produces more actionable results than a generic "Do a SWOT analysis." The objective determines which factors are relevant.
Brainstorm Each Quadrant
Work through each quadrant using the guided prompts. Use silent brainstorming first (each person writes ideas on sticky notes independently for 5 minutes) before group discussion. This prevents anchoring bias where the first idea shapes all subsequent contributions. Aim for 5 to 10 items per quadrant.
Prioritize Within Quadrants
Transfer items to the prioritization matrix. Rate each item on impact (how significant is this factor?) and actionability (can we realistically act on this?). Focus the strategic discussion on the top 3 to 5 items in each quadrant rather than trying to address everything.
Generate Strategies with TOWS
Use the TOWS matrix to create strategic responses by connecting quadrants. For each cell, ask: "How can we use this strength to capture this opportunity?" or "How can we minimize this weakness to avoid this threat?" The TOWS matrix transforms a diagnostic exercise into a strategic action plan.
Assign Actions
For each strategy generated in the TOWS matrix, document the specific action, the owner, the timeline, and how success will be measured. A SWOT analysis without assigned actions is a conversation that produces no change.
What This SWOT Analysis Template Covers
This template gives you a structured format for running a complete SWOT analysis session, from brainstorming through strategic action planning. It includes the standard 2×2 grid with guided prompts for each quadrant, a prioritization matrix for ranking items by impact, and a TOWS strategy matrix that converts your SWOT findings into four types of strategic responses.
The template works for any strategic context: annual planning, product launch evaluation, competitive positioning, market entry assessment, or departmental goal setting. Use it in team workshops or as a structured framework for individual strategic thinking.
Common Questions About Free SWOT Analysis Template
How long should a SWOT analysis workshop take?
Plan 90 minutes to 2 hours for a complete SWOT session including brainstorming, prioritization, and initial strategy development. If the team needs to complete the TOWS matrix and action planning, add another 60 minutes. Send pre work data 3 to 5 days before the session so participants arrive prepared.
How many people should participate in a SWOT workshop?
Five to eight people from different functions and levels produces the best results. Fewer than four limits perspective diversity. More than ten makes facilitation difficult and reduces individual contribution time. Include people who interact with customers, competitors, and the market rather than only internal leaders.
What is the difference between a SWOT template and a TOWS template?
A SWOT template captures the four quadrants of factors. A TOWS template adds a strategy generation step that connects those quadrants into actionable strategic responses. This template includes both: the SWOT grid for analysis and the TOWS matrix for strategy development.
