To Do List Template
This to do list template structures your daily tasks into a prioritized, actionable format. It includes columns for task name, priority level (P1 through P4), due date, status (Not Started, In Progress, Done), estimated time, and notes. The template is pre sorted by priority so the most important work appears first.
A weekly review section at the bottom captures tasks to carry forward, tasks to delegate, and tasks to delete. This prevents the common problem of stale items accumulating over weeks.
What This Includes
- Daily task list with 9 pre formatted rows sorted by priority
- Priority column with P1 (Must Do), P2 (Should Do), P3 (Could Do), P4 (Delegate or Defer) labels
- Due date and estimated time columns for time blocking
- Status column with Not Started, In Progress, and Done states
- Notes column for context, links, or dependencies
- Weekly review section: carry forward, delegate, and delete prompts

How to Use This Template
Morning Setup (2 Minutes)
Open the template at the start of your day. Add today's tasks, starting with the most important. Assign priority levels: P1 for tasks that must be done today, P2 for tasks that should be done today, P3 for tasks you will do if time allows, P4 for tasks to delegate or defer. Limit to 5 to 9 items.
Work Through the List
Start with P1 items and work down. Update the status column as you progress. If a new urgent task arrives, add it and reprioritize. If you cannot finish a P3 or P4 item today, move it to tomorrow's list or the weekly backlog.
End of Day Review (2 Minutes)
Mark remaining items as carry forward, delegate, or delete. Anything carried forward more than 3 days in a row is either not important enough (delete it) or not well defined enough (rewrite it as a concrete action).
Weekly Review (10 Minutes)
Every Friday or Monday, review the weekly section. Identify patterns: are the same items stuck? Are priorities shifting? Use the review to set up next week's focus areas and pre populate Monday's list.
This template gives you a structured starting point for a daily or weekly to do list. It works for personal task management or as a shared team task list. The structure follows the principles covered in the To Do List guide: concrete actions, priority ordering, and a manageable number of items.
