Next, write \u201cProject\u201d in the A2 cell and \u201cHours per week\u201d in the B2 cell. List your projects under the \u201cProject\u201d column.<\/p>\n\n\n\n<p>Under \u201cHours per week,\u201d write the number of hours needed on a particular project.<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li><strong>Tip 1<\/strong>: Stretch the columns\u2019 width to accommodate every name without making the table look messy. You can also bold the columns\u2019 names to make the table easier to follow.<\/li>\n\n\n\n<li><strong>Tip 2<\/strong>: If you\u2019re trying to enter the number of hours but Excel keeps turning it into a date, ensure the formatting is correct. Type <strong>\u201cNumber of employees\u201d<\/strong> in the D2 cell, <strong>\u201cHours per week\u201d<\/strong> in the E2 cell, and <strong>\u201cUtilization rate\u201d<\/strong> in the F2 cell.<\/p>\n\n\n\n<p>Utilization rate represents the percentage of your employees\u2019 hours spent on billable work. For example, your employees may have an eight-hour workday, but that certainly doesn\u2019t mean they will be productive 100% of the time. They must take lunch or toilet breaks or run non-work-related errands. Your employees also take vacations and planned leaves, which is also factored into the total utilization rate.<\/p>\n\n\n\n<p>Even when your employees are working at full capacity, not everything they do counts as billable work. This is the step where Excel does its magic and shows whether your team is good as it is or needs more people on board.<\/p>\n\n\n\n<p><strong>Write \u201cCapacity planning\u201d<\/strong> in the H1 cell (that\u2019s the table\u2019s name). Like in the previous step, you can place the table wherever you want, but it\u2019s important to follow the instructions carefully to prevent using the wrong cells for formulas.<\/p>\n\n\n\n<p><em><strong>Bonus: <\/strong>Get a head start with these <a href=\"https:\/\/clickup.com\/blog\/capacity-planning-templates-excel\/\">capacity planning templates in Excel<\/a>!<\/em><\/p>\n\n\n\n<h4 class=\"wp-block-heading\" id=\"5-total-project-demand\">Total project demand<\/h4>\n\n\n\n<p>In the H2 cell, write \u201cTotal project demand.\u201d This cell represents the hours your team and your project managers needs to invest in all projects combined. Instead of launching the calculator and adding the numbers manually, you\u2019ll use Excel\u2019s superpowers. \ud83e\uddb8<\/p>\n\n\n\n<p>Double-click on the H3 field and press the Fx icon on the left of the Formula Bar. <strong>Choose \u201cSUM\u201d <\/strong>and select the cell range which should be included in the results. In our case, those are cells from B3 to B7, and the result is 384.<\/p>\n\n\n\n<h4 class=\"wp-block-heading\" id=\"6-potential-capacity\">Potential capacity<\/h4>\n\n\n\n<p>Now you need to display how many hours your team works per week. You\u2019ll get this by multiplying the number of employees by their weekly working hours.<\/p>\n\n\n\n<p>You can let Excel do the work for you and use a formula. Start by <strong>writing \u201cPotential capacity\u201d<\/strong> in I2, double-click the I3 cell, and press the Fx button on the left of the Formula Bar. Under \u201cSearch for a function,\u201d enter \u201cProduct,\u201d and double-click the function.<\/p>\n\n\n\n<p>Select the D3 and E3 cells, and Excel will display the result in I3. In our case, that\u2019s 400.<\/p>\n\n\n\n<h4 class=\"wp-block-heading\" id=\"7-effective-capacity\">Effective capacity<\/h4>\n\n\n\n<p>Let\u2019s move on to the third column. <strong>Write \u201cEffective capacity<\/strong>\u201d in J2 and use a formula to calculate it. This cell will indicate how many hours of billable work your team can actually put in. You\u2019ll get the results if you multiply the three numbers from our previous table (in our case, cells D3, E3, and F3). You\u2019ll calculate it using a unique formula.<\/p>\n\n\n\n<p>First, <strong>add a new column to your capacity planning table from the previous step and name it \u201cResource deficiency<\/strong>.\u201d<\/p>\n\n\n\n<h4 class=\"wp-block-heading\" id=\"9-the-formula-part-1\">The formula: Part 1<\/h4>\n\n\n\n<p>Now, it\u2019s time to use one of the functions Excel is renowned for, and that is <strong>IF<\/strong>. You\u2019ll set a condition that will automatically display if you need more employees on your team. Not only that, but Excel will even show how many more employees you need!<\/p>\n\n\n\n<p>In our example, the formula looks like this: \u201c=IF(H3&gt;J3,(H3-J3)\/(E3*F3))\u201d. Looks complex? Let\u2019s explain it in more detail! \ud83e\udd13<\/p>\n\n\n\n<p>First, you\u2019re focusing on <strong>whether the total project demand is higher than the team\u2019s effective capacity<\/strong> (expressed in hours). In an ideal world, these two numbers would be close to equal. But you\u2019re running a dynamic team that tackles different projects\u2014some are complex and require more work.<\/p>\n\n\n\n<p>Regardless of the project\u2019s scope, if the number of hours per week necessary to tackle all projects is higher than the team\u2019s effective capacity, it indicates you need more team members on board.<\/p>\n\n\n\n<h4 class=\"wp-block-heading\" id=\"10-the-formula-part-2\">The formula: Part 2<\/h4>\n\n\n\n<p>Suppose the total project demand exceeds your team\u2019s effective capacity. In that case, you need to <strong>calculate how many employees you need<\/strong>, bringing us to the second part of our formula.<\/p>\n\n\n\n<p>You\u2019ll first <strong>identify the difference between total project demand and effective capacity<\/strong> (H3-J3).
