Gather specs and requirements<\/b> for the project team<\/h2>\n<p><span style=\"font-weight: 400;\">The next step in your project management checklist is to gather the specifications and requirements for your project. This will depend on the type of project you\u2019re working on. <\/span><\/p>\n<p><span style=\"font-weight: 400;\">In general, your specs and requirements should include a few results-oriented criteria:<\/span><\/p>\n<ul>\n<li><span style=\"font-weight: 400;\">Project success factors (How do you know if this build was satisfactory?)<\/span><\/li>\n<li>Project failure factors (How do you know if this build was unsatisfactory?)<\/li>\n<li><span style=\"font-weight: 400;\">Test specifications (such as how the test will be administered)<\/span><\/li>\n<li><span style=\"font-weight: 400;\">Reports on the test and the success factors.<\/span><\/li>\n<\/ul>\n<h2 class=\"wp-block-heading\"><b>4. Make The Project Plan<\/b><\/h2>\n<p><span style=\"font-weight: 400;\">You\u2019ve done your research, <a href=\"https:\/\/clickup.com\/blog\/requirements-management-planning\/\">understand the requirements<\/a>, and are now ready to <a href=\"https:\/\/clickup.com\/blog\/work-plan-templates\/\">make a work plan<\/a>.<\/span><\/p>\n<p><span style=\"font-weight: 400;\">Your natural inclination may be to jump straight to <a href=\"https:\/\/venngage.com\/features\/timeline-infographics\">make a timeline<\/a> and schedule out the tasks. <\/span><\/p>\n<p><span style=\"font-weight: 400;\">But before you create the project schedule, you must consider what specific steps need to be done. <\/span><\/p>\n<p><span style=\"font-weight: 400;\">From writing code to ordering parts or creating signage, the parts and pieces will differ based on your specific project. No two project management checklists will be the same, and this step is crucial for you and your project\u2019s success.<\/span><\/p>\n<p><span style=\"font-weight: 400;\">Don\u2019t forget about <a href=\"https:\/\/clickup.com\/blog\/risk-management-software\/\">risk management<\/a> and how you will handle any <a href=\"https:\/\/clickup.com\/blog\/project-management-challenges\/\">challenging issues<\/a> or change requests that arise. You\u2019ll also want to define the <a href=\"https:\/\/clickup.com\/blog\/project-scope\/\">project scope<\/a> in your project management plan so nothing goes off the rails.<\/span> There will always be surprises, but as long as you\u2019re committed to project communication, <a href=\"https:\/\/clickup.com\/blog\/project-execution\/\">project execution<\/a>, and are using the ClickUp project management tool, you and your project team will be set for success!<\/p>\n<h4 class=\"wp-block-heading\">Consideration for Dependencies when Project Planning<\/h4>\n<p><span style=\"font-weight: 400;\">For this checklist item, also consider the dependencies\u2013which tasks must be completed before other tasks can begin. Order your tasks and set up task dependencies to manage milestones, and save time. <\/span><\/p>\n<p><span style=\"font-weight: 400;\">In ClickUp, create a Folder for your project and then start a List of the different parts. Maybe you have different Lists based on the code languages used. You might have one for front-end and another for back-end. Design and copywriting work too! Don\u2019t set your due dates! But you can add any relevant details, or files. ClickUp provides a rich-text editor to help you emphasize certain points, copy code or even quote sections with italics.<\/span><\/p>\n<h2 class=\"wp-block-heading\"><b>5. Create The Project Budget<\/b><\/h2>\n<p><span style=\"font-weight: 400;\">Once you\u2019re finished with the <a href=\"https:\/\/clickup.com\/blog\/project-plan\/\">project plan<\/a>, it\u2019s time for the nitty-gritty: the budget. <\/span><\/p>\n<p><span style=\"font-weight: 400;\">This is a time-based estimate of what everything will cost for the project. <\/span><\/p>\n<p><span style=\"font-weight: 400;\">Hopefully, your stakeholders gave you some type of number to work with. <\/span><\/p>\n<p><span style=\"font-weight: 400;\">But here\u2019s a tip: don\u2019t look at it. <\/span><\/p>\n<p><span style=\"font-weight: 400;\">Think about what it would take to get the project done to the best of your ability and within scope, and then reflect on the number. <\/span><\/p>\n<p><span style=\"font-weight: 400;\">Then you\u2019ll know what to cut and what to keep. Start with the large estimate, then work your way down to a more specific iteration.<\/span><\/p>\n<h3 class=\"wp-block-heading\">Direct and Indirect Costs<\/h3>\n<p><span style=\"font-weight: 400;\">Each budget will have direct and indirect costs. <\/span><\/p>\n<p><span style=\"font-weight: 400;\">Direct costs include labor, hardware, <a href=\"https:\/\/clickup.com\/blog\/free-project-management-software\/\">project management software<\/a> and any research-related costs (like travel or focus groups). <\/span><\/p>\n<p><span style=\"font-weight: 400;\">Indirect costs may not need to be factored in (depending on the project). These have ramifications beyond your project, like renting office space or office supplies. These could be used for and benefit other projects, too. <\/span><\/p>\n<p><span style=\"font-weight: 400;\">With <a href=\"https:\/\/docs.clickup.com\/features\/custom-fields\">ClickUp\u2019s Custom Fields feature<\/a>, you can actually create unique task columns to manage your budget, or really any other numerical value.<\/span><\/p>\n<p><span style=\"font-weight: 400;\">You can even determine all the costs, calculate your budget fields in reports to find their sum, average or range. This is the perfect way to manage costs and gain perspective on your project\u2019s general efficiency so. that you can create a resource plan for your project.<\/span><\/p>\n<h2 class=\"wp-block-heading\"><b>6. Allocate Your Resources<\/b><\/h2>\n<p><span style=\"font-weight: 400;\">Who will work on what? <\/span><\/p>\n<p><span style=\"font-weight: 400;\">This is the part where you begin assigning work or assign tasks to specific team members. Think about the skill sets of each person, their previous experience and their roles and responsibilities within the company. <\/span><\/p>\n<p><span style=\"font-weight: 400;\">Many times, it\u2019s a given that a certain team member will work on a project. Other times, you may be creating a specialized team where each of these factors will be more important.<\/span><\/p>\n<h3 class=\"wp-block-heading\">Allocating Resources and Equipment<\/h3>\n<p><span style=\"font-weight: 400;\">In addition to personnel, you may need to think about schedules and equipment. Do you need to order more parts? What is your <a href=\"https:\/\/clickup.com\/blog\/inventory-templates\/\">current inventory<\/a> and is it enough to get the job done? What additional software do you need? <\/span><\/p>\n<p><span style=\"font-weight: 400;\">These considerations are part of <a data-wpil=\"url\" data-wpil-url-old=\"aHR0cHM6Ly9jbGlja3VwLmNvbS9ibG9nL3Jlc291cmNlLWFsbG9jYXRpb24v\" href=\"https:\/\/clickup.com\/content\/resource-allocation\">resource allocation<\/a>. You\u2019re in charge of aligning schedules with the number of people that you have. <\/span><\/p>\n<p><span style=\"font-weight: 400;\">It may mean asking for additional hires or contracting with other vendors to finish the project on schedule.<\/span><\/p>\n<h2 class=\"wp-block-heading\"><b>7. Create a schedule<\/b><\/h2>\n<p>After determining what tasks need to be done and the resources you need to do them, you can create a schedule and timeline for your projects.<\/p>\n<p>This involves estimating the amount of time each task will take, and then plotting those to give a reasonably estimated project completion date.<\/p>\n<p>You may want to have specific contributors estimate the time for you, or revise your project schedule once you have a few estimates in place.<\/p>\n<p>In ClickUp, you have many options for time and schedules:<\/p>\n<ul>\n<li><b><a href=\"https:\/\/clickup.com\/dates-and-times\">Set start and due dates<\/a><\/b><\/li>\n<li><b>List estimated time<\/b><\/li>\n<li><strong><a href=\"https:\/\/clickup.com\/project-time-tracking\">Use native time tracking or your preferred integration<\/a><\/strong><\/li>\n<li><strong><a href=\"https:\/\/clickup.com\/features\/dependencies\">Set dependencies<\/a><\/strong><\/li>\n<li><strong>View in a Calendar or Gantt Chart<\/strong><\/li>\n<\/ul>\n<h2 class=\"wp-block-heading\"><b>8.
