Easy sprint and backlog management<\/a><\/li>\n<\/ul>\n<\/li>\n<li><a href=\"https:\/\/clickup.com\/blog\/gatekeeper-using-clickup\/#5-jira-alternatives-for-modern-teams-\">Jira Alternatives for Modern Teams\u00a0<\/a><\/li>\n<\/ul>\n<\/div>\n<\/div>\n<\/div>\n<h2 class=\"wp-block-heading\" id=\"0-my-experience-with-jira-\">My Experience with Jira\u00a0<\/h2>\n<p>Hi, I\u2019m Sam Pavitt, Head of Product at <a href=\"https:\/\/www.gatekeeperhq.com\/\" rel=\"noreferrer noopener\" target=\"_blank\">Gatekeeper<\/a>! \ud83d\udc4b \ud83d\ude0a<\/p>\n<p>I recently had the opportunity to join the Product for Product podcast and share my experience using ClickUp for product management\u2014and how it compares to Jira. Read on to get the podcast cliff notes, or take a full listen <a href=\"https:\/\/www.spreaker.com\/user\/14009820\/ep-52-clickup-with-sam-pavitt-mix\" rel=\"noreferrer noopener\" target=\"_blank\">here<\/a>.\u00a0<\/p>\n<p>Often when we think about product management tools, the go-to is Jira. Not necessarily because it\u2019s the best\u2014but often because it\u2019s what we\u2019re used to, familiar with, or what\u2019s \u201cexpected\u201d when scaling agile teams.\u00a0<\/p>\n<p>However, in my experience Jira is often over-utilized (particularly in growing teams) where its restrictive nature can lead to admin bottlenecks, inflexible workflows, and isolation from non-technical stakeholder teams who struggle to navigate Jira\u2019s UI (ever try to teach a marketer JQL?).\u00a0<\/p>\n<p>\ud83d\udccc <strong>Here\u2019s a secret<\/strong>: In a previous life, I was a Jira enthusiast and champion who leveraged my agile background to scale teams from Startups to Enterprises\u2014often through the implementation of Jira. And when I joined Gatekeeper, a contract and vendor management platform, I had grand plans to do the same\u2014replicating the playbook of processes, workflows, and admin configuration I\u2019d mastered on the tool. Then my new team broke the news, \u201cOur CEO absolutely hates Jira, so good luck.\u201d<\/p>\n<p>That was somewhat of an \u201coh sh*t\u201d moment, and whilst I could have pushed for the change, I understood the importance of choosing my battles wisely early on, so I decided to dive deeper into what the team was already using: a new platform (that I had zero experience with) called <a href=\"https:\/\/clickup.com\/about\">ClickUp<\/a>.\u00a0<\/p>\n<p>ClickUp was originally implemented at Gatekeeper for general work management but had teams from Marketing to Support to pockets of my own Engineering organization using it. So, I decided early on to evaluate ClickUp for Product Management and put my efforts toward learning how to use it (or potentially break it) for our development work.<\/p>\n<p><strong>Worst case scenario?<\/strong> It would help me build a case to implement Jira eventually.<\/p>\n<p><strong>Best case?<\/strong> I could use a platform the team already loved, used across the organization for better visibility, and fulfill everything we need to accomplish as a software development org.\u00a0<\/p>\n<p>Flash forward two years, and our entire <a href=\"https:\/\/clickup.com\/product-management-guide\">product management<\/a> and <a href=\"https:\/\/clickup.com\/sed\">development teams<\/a> live and work in ClickUp every day and we\u2019ve never looked back.<\/p>\n<p>Now don\u2019t get me wrong, I still think Jira is an excellent tool. But it\u2019s often over-utilized by smaller, agile teams who likely don\u2019t need the strict configuration and administrative limits. <\/p>\n<p>These teams would benefit from ClickUp\u2019s flexibility, cross-team visibility, and the overall freedom to let high-trust teams manage their own work. It works so much better than navigating a series of workflow errors and admin requests just to move work forward.\u00a0<\/p>\n<p><strong><a href=\"Bonus: Monday.com Vs. Jira\"><em>Bonus: Monday.com Vs. Jira<\/em><\/a><\/strong><\/p>\n<h2 class=\"wp-block-heading\" id=\"1-3-reasons-why-i-converted-from-jira-to-clickup\">3 Reasons Why I Converted From Jira to ClickUp<\/h2>\n<p><strong>For Product Managers trying to wrap their heads around why to <a href=\"https:\/\/clickup.com\/blog\/switch-from-jira-to-clickup\/\">choose ClickUp over Jira<\/a>, here are the top three reasons that made me an instant convert<\/strong>:<\/p>\n<h3 class=\"wp-block-heading\" id=\"2-1-no-formal-admin-needed-\">1. No formal admin needed\u00a0\u00a0<\/h3>\n<p>With Jira, you need an admin to run it properly, including everything from setting up workflows to running reports. The control is often held by a single team or individual, and once you create Jira tickets just to manage your Jira tickets\u2014you\u2019re probably not being the most productive.\u00a0\ud83d\ude2c<\/p>\n<p>With ClickUp, you don\u2019t need a dedicated admin.<\/p>\n<p>Now, that\u2019s not to say you won\u2019t need or have ClickUp specialists. We do.\u00a0<\/p>\n<p>For example, Paul is a product owner on our team and just so happens to be our \u201cgo-to\u201d guy for ClickUp questions and optimization, but not because he\u2019s the only one who can do it. Any of us can pick up the work. It just so happens that he\u2019s a great process guy (and, to be honest, enjoys solving problems in ClickUp).<\/p>\n<p>Whereas in Jira, you regularly run into errors or bottlenecks requiring an admin to intervene, review, and deploy minor configuration changes. I would know: As a Jira admin and champion, I often <em>was<\/em> that bottleneck. \ud83d\ude05<\/p>\n<p>It\u2019s just not the case with ClickUp. It\u2019s so easy to use, so easy to implement. Anyone can configure it.\u00a0<\/p>\n<h3 class=\"wp-block-heading\" id=\"3-2-flexible-workflows-support-complex-sdlc\">2. Flexible \u2018workflows\u2019 support complex SDLC<\/h3>\n<p>With ClickUp, it\u2019s the absence of the rigid Jira workflow structure that drastically improved how we manage our software development life cycle. Early on, it didn\u2019t make sense to me.<\/p>\n<p>I asked myself, \u201cHow on earth am I going to implement this complex SDLC with no workflow restrictions?\u201d<\/p>\n<p>I was used to how workflows, statuses, and transitions were locked down in Jira. Historically, you\u2019re in a status and you usually only have one or two options to move the work forward (move to dev, raise a PR, etc). Try to skip a step, move something back to a previous state, or handoff to a different team and it would often throw an error restricting the natural flow of work. You were only allowed a set of pre-configured actions, and any movement outside of that was restricted.<\/p>\n<p>I remember being infuriated, constantly coming up against these error modals, \u201cSorry, you can\u2019t do that.\u201d Brick wall, after brick wall, after brick wall. And eventually, you work out why it is, because the workflow insists you do things in a certain way.<\/p>\n<p>For us, it didn\u2019t reflect the real world of our development work and, frankly wasn\u2019t agile enough.<\/p>\n<p>In ClickUp, you can have those identical flows and statuses\u2014you just don\u2019t have a rigid workflow governing your actions. You have the <a href=\"https:\/\/clickup.com\/custom-project-management\">flexibility<\/a> to move a task wherever you want, and build workflows however you want, and that\u2019s the beauty of it. You can do whatever you want with it.\u00a0<\/p>\n<p>By the way, our SDLC process is by no means simple. In ClickUp, we have around 15 <a href=\"https:\/\/clickup.com\/features\/automations\">automations <\/a>running on our SDLC, but like I mentioned before, a big benefit is that it doesn\u2019t require that administrator to configure.<\/p>\n<figure class=\"wp-block-image aligncenter size-large\"><img alt=\"Custom automation in ClickUp\" class=\"wp-image-40073\" decoding=\"async\" height=\"498\" loading=\"lazy\" src=\"https:\/\/clickup.com\/blog\/wp-content\/uploads\/2022\/08\/image4.gif\" width=\"960\"\/><figcaption class=\"wp-element-caption\">Use pre-built automation recipes or customize them based on your needs, so your team can focus where it matters most<br \/>\n<\/figcaption><\/figure>\n<h3 class=\"wp-block-heading\" id=\"4-3-easy-sprint-and-backlog-management\">3. Easy sprint and backlog management<\/h3>\n<p>With ClickUp, similar to Jira, you can create a sprint cycle based on whatever cadence you\u2019re working to, two weekly, monthly, etc. But where ClickUp shines when <a href=\"https:\/\/clickup.com\/features\/sprints\">managing sprints and backlogs<\/a> is in the tagging capabilities.\u00a0<\/p>\n<figure class=\"wp-block-image aligncenter size-large is-resized\"><img alt=\"Custom tags in ClickUp\" class=\"wp-image-40074\" decoding=\"async\" height=\"402\" loading=\"lazy\" sizes=\"auto, (max-width: 502px) 100vw, 502px\" src=\"https:\/\/clickup.com\/blog\/wp-content\/uploads\/2022\/08\/image3.png\" srcset=\"https:\/\/clickup.com\/blog\/wp-content\/uploads\/2022\/08\/image3.png 660w, https:\/\/clickup.com\/blog\/wp-content\/uploads\/2022\/08\/image3-300x240.png 300w\" width=\"502\"\/><figcaption class=\"wp-element-caption\">Add custom tags to your tasks to organize on another level, and filter List and Board View to see exactly which tasks are most important<br \/>\n<\/figcaption><\/figure>\n<p>We have three different squads here at Gatekeeper: our Core squad, the Integrations and API squad, and our Workflow squad.\u00a0<\/p>\n<p>We use those team<a href=\"https:\/\/clickup.com\/features\/task-tags\"> tags<\/a> to separate the sprints running throughout the same sprint cycle but within the different squads. When the product owner for each of those squads is building the backlog and then building their upcoming sprints, they can simply apply filters. <\/p>\n<p>It lets them say, \u201cShow me any tasks that are in my sprint.\u201d This includes custom fields that each team can use together or add squad-specific tags and fields that only display in their team view.\u00a0<\/p>\n<p>With Jira getting these types of sprint and backlog views to <a href=\"https:\/\/clickup.com\/blog\/team-management\/\">manage team<\/a> tasks would require an admin to do SQL-like queries. Again, creating a bottleneck.
