When he is not at work you can catch Andy out in the wild running, hiking, or surfing.<\/em><\/p>\n<p><span style=\"font-weight: 400;\">In today\u2019s fast-paced marketing environment, teams are required to move quickly and shift strategies as new information flows in.\u00a0<\/span><\/p>\n<p><span style=\"font-weight: 400;\">At Vonazon, this process is sped up since many of our clients are software companies with products that are continuously being developed.\u00a0<\/span><\/p>\n<p><span style=\"font-weight: 400;\">In this article, we\u2019ll cover how we use ClickUp to stay ahead of our work.<\/span><\/p>\n<h2>The Evolution of Marketing<\/h2>\n<p><span style=\"font-weight: 400;\">Modern marketers are expected to develop creative ideas and adapt to an ever-changing environment.\u00a0<\/span><\/p>\n<p><span style=\"font-weight: 400;\">The only constant in the industry is progress.<\/span><a href=\"https:\/\/clickup.com\/teams\/marketing\"> <span style=\"font-weight: 400;\">Marketing<\/span><\/a><span style=\"font-weight: 400;\"> has evolved to be far more technical, with tools like marketing automation, search engine optimization (SEO), pay-per-click (PPC), and several other digital channels. Not to mention that the average end-user has become smarter.\u00a0<\/span><\/p>\n<p><span style=\"font-weight: 400;\">A good example would be the success of the <\/span><a href=\"https:\/\/www.coca-colacompany.com\/news\/id-like-to-buy-the-world-a-coke#:~:text=Working%2520through%2520the%2520night%252C%2520they,to%2520radio%2520stations%2520around%2520America.\"><i><span style=\"font-weight: 400;\">I\u2019d Like to Buy the World a Coke<\/span><\/i><\/a> <span style=\"font-weight: 400;\">campaign from 1971 that was revered in its time, compared to Pepsi\u2019s 2017 <\/span><a href=\"https:\/\/www.nytimes.com\/2017\/04\/05\/business\/kendall-jenner-pepsi-ad.html\"><i><span style=\"font-weight: 400;\">Live for Now<\/span><\/i><\/a><span style=\"font-weight: 400;\"> campaign that was seen as manipulative and tasteless.<\/span><\/p>\n<h2>What is Software as a Service (SaaS)?<span style=\"font-weight: 400;\">\u00a0<\/span><\/h2>\n<p><span style=\"font-weight: 400;\">But the end-user is not the only part of the process that has evolved. The complexities of today grow when you think about the tech world and industries like Software as a Service (SaaS).\u00a0<\/span><\/p>\n<p><span style=\"font-weight: 400;\">These companies internalize the rapid rate of progress that has come to embody Silicon Valley. SaaS companies deliver software that is accessed through the internet, and usually, you pay for the product on a subscription basis, instead of as a one-time transaction. <a href=\"https:\/\/clickup.com\/blog\/saas-tools\/\">SaaS software<\/a> spans B2B and B2C, with examples including ClickUp, Netflix, Dropbox, Uber, Slack, and many, many more.\u00a0<\/span><\/p>\n<p><span style=\"font-weight: 400;\">As you can imagine, these companies are expected to develop their offering quickly, and there are countless speed bumps along the way trying to slow them down. Government regulations get pushed out consistently, end-users expect new features regularly, and the competition is never-ending.<\/span><\/p>\n<h2>The SaaS Marketer\u2019s Workflow<\/h2>\n<p><span style=\"font-weight: 400;\">As a digital agency,<\/span><a href=\"https:\/\/vonazon.com\/\"> <span style=\"font-weight: 400;\">Vonazon<\/span><\/a><span style=\"font-weight: 400;\"> is expected to keep up with this rate of change while also developing strategies to promote new features, raise brand awareness, and bring new products to market.\u00a0<\/span><\/p>\n<p><span style=\"font-weight: 400;\">Otherwise, how would anyone know about the creative developments that are happening in these companies? It requires having a plan to work from and being agile enough to shift the strategy with new information.\u00a0<\/span><\/p>\n<p><span style=\"font-weight: 400;\">A good process starts with a well-developed internal structure, also known as the<\/span><a href=\"https:\/\/docs.clickup.com\/en\/articles\/1045623-hierarchy-structure-in-clickup\"> <span style=\"font-weight: 400;\">Hierarchy<\/span><\/a><span style=\"font-weight: 400;\"> in ClickUp.<\/span><\/p>\n<p><img decoding=\"async\" loading=\"lazy\" class=\"aligncenter size-full wp-image-13533\" src=\"https:\/\/clickup.com\/blog\/wp-content\/uploads\/2020\/12\/image4-2.png\" alt=\"clickup hierarchy \" width=\"1914\" height=\"1020\" srcset=\"https:\/\/clickup.com\/blog\/wp-content\/uploads\/2020\/12\/image4-2.png 1914w, https:\/\/clickup.com\/blog\/wp-content\/uploads\/2020\/12\/image4-2-300x160.png 300w, https:\/\/clickup.com\/blog\/wp-content\/uploads\/2020\/12\/image4-2-768x409.png 768w, https:\/\/clickup.com\/blog\/wp-content\/uploads\/2020\/12\/image4-2-1400x746.png 1400w\" sizes=\"auto, (max-width: 1914px) 100vw, 1914px\" \/><\/p>\n<p><span style=\"font-weight: 400;\">Here\u2019s how we organize our workflow in ClickUp:<\/span><\/p>\n<ul>\n<li><span style=\"font-weight: 400;\">The <\/span><a href=\"https:\/\/docs.clickup.com\/en\/articles\/1045623-hierarchy-structure-in-clickup\"><span style=\"font-weight: 400;\">Workspace<\/span><\/a><span style=\"font-weight: 400;\"> is all of Vonazon<\/span><\/li>\n<li><a href=\"https:\/\/docs.clickup.com\/en\/articles\/1045623-hierarchy-structure-in-clickup\"><span style=\"font-weight: 400;\">Spaces<\/span><\/a><span style=\"font-weight: 400;\"> are individual clients<\/span><\/li>\n<li><a href=\"https:\/\/docs.clickup.com\/en\/articles\/1045623-hierarchy-structure-in-clickup\"><span style=\"font-weight: 400;\">Folders <\/span><\/a><span style=\"font-weight: 400;\">are projects and campaigns within clients (e.g. Lead Nurture, or Hourly)<\/span><\/li>\n<li><a href=\"https:\/\/docs.clickup.com\/en\/articles\/1045623-hierarchy-structure-in-clickup\"><span style=\"font-weight: 400;\">Lists<\/span><\/a><span style=\"font-weight: 400;\"> separate the phases in projects (Strategy, Design, Copy, Implementation). We keep all lists within a folder to stay better organized<\/span><\/li>\n<li><a href=\"https:\/\/docs.clickup.com\/en\/articles\/891673-task-overview\"><span style=\"font-weight: 400;\">Tasks<\/span><\/a><span style=\"font-weight: 400;\"> are just that, tasks (Design \u201cx\u201d Email, Build Landing Page \u201cxX\u201d, etc.)<\/span><\/li>\n<li><span style=\"font-weight: 400;\">We try not to use a lot of Subtasks and Checklists. But they have their place for individuals. It gets confusing for some teams when the task becomes too granular<\/span><\/li>\n<li><span style=\"font-weight: 400;\">We use Assigned and Tagged Comments heavily. Mainly during the copywriting, and design stages<\/span><\/li>\n<\/ul>\n<p><span style=\"font-weight: 400;\">This hierarchy is the base for setting up any organized project; it sets us up for success as we move into individual projects. We use the<\/span><a href=\"https:\/\/clickup.com\/blog\/project-management-stages\/\"> <span style=\"font-weight: 400;\">5 stages of project management<\/span><\/a><span style=\"font-weight: 400;\"> to align our wants and needs with that of our clients.\u00a0<\/span><\/p>\n<p><span style=\"font-weight: 400;\">While these stages focus us on the goal, we also use ClickUp\u2019s features to use an agile approach to create the highest quality work.\u00a0<\/span><\/p>\n<p><b>Here\u2019s how we break down the 5 stages of project management.<\/b><\/p>\n<h3><span style=\"font-weight: 400;\">Step 1: Initiation<\/span><\/h3>\n<p><span style=\"font-weight: 400;\">Our campaign process begins with the handoff from our sales department to the client strategy team.\u00a0<\/span><\/p>\n<p><span style=\"font-weight: 400;\">Here we discover the root of our client\u2019s problem and identify objectives to pursue. With these objectives in mind, we make some assumptions like the best channel to reach the target audience and the general messaging to pursue.\u00a0<\/span><\/p>\n<p><span style=\"font-weight: 400;\">With that in mind, we move forward with a<\/span><a href=\"https:\/\/vonazon.com\/2020\/09\/lead-scoring-behavior-demographics\/\"> <span style=\"font-weight: 400;\">Lead Nurture Campaign<\/span><\/a><span style=\"font-weight: 400;\">. The main risk with <a href=\"https:\/\/clickup.com\/blog\/saas-examples\/\">SaaS companies<\/a> is how quickly their product and subsequent benefits can shift.\u00a0<\/span><\/p>\n<p><span style=\"font-weight: 400;\">We take notes in ClickUp\u2019s<\/span><a href=\"https:\/\/docs.clickup.com\/en\/articles\/2957090-docs-in-clickup\"> <span style=\"font-weight: 400;\">Doc View<\/span><\/a><span style=\"font-weight: 400;\">, then highlight actionable items and create tasks directly from the document.\u00a0<\/span><\/p>\n<p><img decoding=\"async\" loading=\"lazy\" class=\"aligncenter wp-image-13534 size-full\" src=\"https:\/\/clickup.com\/blog\/wp-content\/uploads\/2020\/12\/image5-4.png\" alt=\"create task in clickup doc\" width=\"883\" height=\"481\" srcset=\"https:\/\/clickup.com\/blog\/wp-content\/uploads\/2020\/12\/image5-4.png 883w, https:\/\/clickup.com\/blog\/wp-content\/uploads\/2020\/12\/image5-4-300x163.png 300w, https:\/\/clickup.com\/blog\/wp-content\/uploads\/2020\/12\/image5-4-768x418.png 768w\" sizes=\"auto, (max-width: 883px) 100vw, 883px\" \/><\/p>\n<h3><span style=\"font-weight: 400;\">Step 2: Planning\u00a0<\/span><\/h3>\n<p><span style=\"font-weight: 400;\">We have decided that lead nurture is the best way to move forward, but the details still need to be figured out.\u00a0<\/span><\/p>\n<p><span style=\"font-weight: 400;\">We create a separate page in the same <\/span><a href=\"https:\/\/clickup.com\/features\/docs\"><span style=\"font-weight: 400;\">Doc <\/span><\/a><span style=\"font-weight: 400;\">and start adding research. For new clients, this includes company, industry, and target customer research.\u00a0<\/span><\/p>\n<p><span style=\"font-weight: 400;\">We then analyze our findings and start developing the strategy.<\/span><a href=\"https:\/\/clickup.com\/features\/mind-maps\"> <span style=\"font-weight: 400;\">Mind Maps<\/span><\/a><span style=\"font-weight: 400;\"> become useful here since they allow us to make branches of the possible Buyer\u2019s Journey.\u00a0<\/span><\/p>\n<p><span style=\"font-weight: 400;\">As we perform this exercise into the customer\u2019s psyche, we get a visual of the assets needed for the campaign. The path of least resistance for a reader to purchase could be two emails, a landing page, and an eBook.\u00a0<\/span><\/p>\n<p><img decoding=\"async\" loading=\"lazy\" class=\"aligncenter size-full wp-image-13530\" src=\"https:\/\/clickup.com\/blog\/wp-content\/uploads\/2020\/12\/image1-5.png\" alt=\"mind map in clickup\" width=\"1377\" height=\"327\" srcset=\"https:\/\/clickup.com\/blog\/wp-content\/uploads\/2020\/12\/image1-5.png 1377w, https:\/\/clickup.com\/blog\/wp-content\/uploads\/2020\/12\/image1-5-300x71.png 300w, https:\/\/clickup.com\/blog\/wp-content\/uploads\/2020\/12\/image1-5-768x182.png 768w\" sizes=\"auto, (max-width: 1377px) 100vw, 1377px\" \/><\/p>\n<p><span style=\"font-weight: 400;\">But sometimes a customer will need to read three emails before they click-through to the landing page. After we have finished our strategy tree, we create a lead nurture campaign folder from a template and add in the specific amount of assets as tasks.\u00a0<\/span><\/p>\n<p><span style=\"font-weight: 400;\">Our template maps our dates, and we add several<\/span><a href=\"https:\/\/clickup.com\/features\/custom-fields\"> <span style=\"font-weight: 400;\">Custom Fields<\/span><\/a><span style=\"font-weight: 400;\"> like department and internal server path.<\/span><\/p>\n<h3><span style=\"font-weight: 400;\">Step 3: Execution<\/span><\/h3>\n<p><span style=\"font-weight: 400;\">With the project plan complete, the client strategist assembles a team of at least one copywriter, designer, and marketing automation specialist.\u00a0<\/span><\/p>\n<p><span style=\"font-weight: 400;\">The internal phases are broken into<\/span><a href=\"https:\/\/docs.clickup.com\/en\/articles\/2017076-what-are-lists\"> <span style=\"font-weight: 400;\">Lists<\/span><\/a><span style=\"font-weight: 400;\"> and are in constant review by the client strategist to make sure that the content meets quality standards. It\u2019s important to note that the content shifts repeatedly due to the nature of SaaS companies, and we apply certain features from<\/span><a href=\"https:\/\/clickup.com\/blog\/agile\/agile-project-management\/\"> <span style=\"font-weight: 400;\">the agile methods<\/span><\/a><span style=\"font-weight: 400;\"> here.\u00a0<\/span><\/p>\n<p><span style=\"font-weight: 400;\">We develop content quickly and continue adding information as it comes in, allowing us to move forward with the rest of the strategy. With this in mind, the team launches into the execution of the campaign.\u00a0<\/span><\/p>\n<h3><span style=\"font-weight: 400;\">Step 4: Monitoring<\/span><\/h3>\n<p><span style=\"font-weight: 400;\">We <a href=\"https:\/\/clickup.com\/blog\/project-monitoring\/\">monitor projects<\/a> in a few ways. Internally we are heavy users of the comment section of tasks.<\/span><a href=\"https:\/\/clickup.com\/features\/assign-comments\"> <span style=\"font-weight: 400;\">Assigned comments<\/span><\/a><span style=\"font-weight: 400;\"> require action from the assignee, while<\/span><a href=\"https:\/\/docs.clickup.com\/en\/articles\/1431044-how-to-mention-or-tag-your-team-members\"> <span style=\"font-weight: 400;\">mentioned comments<\/span><\/a><span style=\"font-weight: 400;\"> are meant to keep the team informed.\u00a0<\/span><\/p>\n<p><span style=\"font-weight: 400;\">These two comment types allow us to communicate shifts in messaging quickly. For a Lead Nurture, we might need to shift what feature we focus on in an eBook because the SaaS client is moving away from a specific technology.\u00a0<\/span><\/p>\n<p><span style=\"font-weight: 400;\">A<\/span><a href=\"https:\/\/docs.clickup.com\/en\/articles\/3840556-formula-fields\"> <span style=\"font-weight: 400;\">Calculation field<\/span><\/a><span style=\"font-weight: 400;\"> is added to each task called \u201cDays Overdue\u201d, which calculates how many days a task took past the due date. It subtracts the Due Date by the Start Date. A positive number shows that a task is overdue, and a negative number shows that the task was completed early.\u00a0<\/span><\/p>\n<p><img decoding=\"async\" loading=\"lazy\" class=\"aligncenter size-full wp-image-13532\" src=\"https:\/\/clickup.com\/blog\/wp-content\/uploads\/2020\/12\/image3-3.png\" alt=\"calculation field in clickup\" width=\"1894\" height=\"1018\" srcset=\"https:\/\/clickup.com\/blog\/wp-content\/uploads\/2020\/12\/image3-3.png 1894w, https:\/\/clickup.com\/blog\/wp-content\/uploads\/2020\/12\/image3-3-300x161.png 300w, https:\/\/clickup.com\/blog\/wp-content\/uploads\/2020\/12\/image3-3-768x413.png 768w, https:\/\/clickup.com\/blog\/wp-content\/uploads\/2020\/12\/image3-3-1400x752.png 1400w\" sizes=\"auto, (max-width: 1894px) 100vw, 1894px\" \/><\/p>\n<p><span style=\"font-weight: 400;\">We use this at the end of the project to determine if we need to train team members more, or if tasks are more time-intensive than we originally thought. While we are not a fully agile company, we do use short term phases as sprints. An example would be our Implementation phase which builds the automation program for the Lead Nurture Campaign.\u00a0<\/span><\/p>\n<p><span style=\"font-weight: 400;\">In the dashboards, we track the progress of the Implementation phase with the use of a<\/span><a href=\"https:\/\/clickup.com\/resources\/software-teams\/agile-burndown-charts\"> <span style=\"font-weight: 400;\">Burndown Chart<\/span><\/a><span style=\"font-weight: 400;\">. At the end of the chart, we should have completed all the copy for the campaign, designed each asset, built them in a marketing automation software, and developed a reporting plan for post-campaign launch.<\/span><\/p>\n<p><img decoding=\"async\" loading=\"lazy\" class=\"aligncenter size-full wp-image-13535\" src=\"https:\/\/clickup.com\/blog\/wp-content\/uploads\/2020\/12\/image6-1.png\" alt=\"clickup dashboard\" width=\"1499\" height=\"1645\" srcset=\"https:\/\/clickup.com\/blog\/wp-content\/uploads\/2020\/12\/image6-1.png 1499w, https:\/\/clickup.com\/blog\/wp-content\/uploads\/2020\/12\/image6-1-273x300.png 273w, https:\/\/clickup.com\/blog\/wp-content\/uploads\/2020\/12\/image6-1-768x843.png 768w, https:\/\/clickup.com\/blog\/wp-content\/uploads\/2020\/12\/image6-1-1276x1400.png 1276w\" sizes=\"auto, (max-width: 1499px) 100vw, 1499px\" \/><\/p>\n<h3><span style=\"font-weight: 400;\">Step 5: Closing<\/span><\/h3>\n<p><span style=\"font-weight: 400;\">The Vonazon Closing procedures are pretty standard. We confirm that the client is satisfied with the work and launch the marketing campaign.\u00a0<\/span><\/p>\n<p><span style=\"font-weight: 400;\">There is continued reporting for post-campaign, but a large number of resources, like <a href=\"https:\/\/clickup.com\/blog\/copywriting-tools\/\">copywriters and designers<\/a>, are released. We document any improvements discovered and add them to the existing Lead Nurture template.\u00a0<\/span><\/p>\n<p><span style=\"font-weight: 400;\">Our Client Strategy team goes above and beyond by auditing our client and making recommendations for further marketing improvements.\u00a0<\/span><\/p>\n<p><span style=\"font-weight: 400;\">Which brings us full circle to the Initiation phase of the next campaign.\u00a0<\/span><\/p>\n<h2><span style=\"font-weight: 400;\">ClickUp Makes SaaS Marketing Easier<\/span><\/h2>\n<p><span style=\"font-weight: 400;\">The five stages aren\u2019t set rules, but rather guidelines to allow creativity and efficiency to flow together.\u00a0<\/span><\/p>\n<p><span style=\"font-weight: 400;\">The strategy output is the end goal, and Vonazon continues to analyze and improve on how we approach every project so that we can be better next time.\u00a0\u00a0<\/span><\/p>\n<p><span style=\"font-weight: 400;\">As a digital <a href=\"https:\/\/clickup.com\/blog\/marketing-agency-software\/\">marketing agency<\/a>, our clientele includes more than SaaS companies, but there is an innate attraction to the Software as a Service industry because of how fast they progress. It requires us to rethink internal processes and to train our team continuously with the most up to date tools.
