It\u2019s been such a positive move for both us and our global clients.<\/p>\n<p><em>Here\u2019s why we moved and how we did it.\u00a0<\/em><\/p>\n<h2 class=\"wp-block-heading\">What we needed from our project management platform<\/h2>\n<p>We were already using good tools to manage our work and keep our clients posted on their projects. But there\u2019s always room for improvement, and we were seeking something with these features:<\/p>\n<h3 class=\"wp-block-heading\">1. A single, unified platform (instead of three)<\/h3>\n<p>Most of our work was managed on Teamwork. We had lots of templates and checklists there that we were using all the time.<\/p>\n<p>We also used Jira as our ticketing platform and sometimes as the main tool for agile projects. Then, some of our internal projects were managed on Trello.<\/p>\n<p>On our wishlist? One platform that could handle all of this.<\/p>\n<h3 class=\"wp-block-heading\">2. Better client transparency<\/h3>\n<p>When clients are choosing an agency for their project, they want to know work will be delivered \u2013 but they also want to know how we\u2019ll work with them.<\/p>\n<p>We were seeking a tool that could give them more transparency into our work \u2013 both high-level and granular. And we wanted to be able to personalise that for each client or stakeholder.<\/p>\n<h3 class=\"wp-block-heading\">3. A one-stop helpdesk for client collaboration<\/h3>\n<p>We were using Teamwork to manage projects at a high level, but clients would also create tickets in Jira.<\/p>\n<p>We wanted one, single tool to make it simpler for them. We were looking for a platform with a built-in helpdesk for easy, one-stop collaboration.<\/p>\n<p class=\"has-text-align-center\"><iframe allowfullscreen=\"allowfullscreen\" class=\"giphy-embed\" frameborder=\"0\" height=\"377\" loading=\"lazy\" src=\"https:\/\/giphy.com\/embed\/fVyWazTQXeJTZF1MBq\" width=\"480\"><\/iframe><\/p>\n<h6 class=\"wp-block-heading\">Our old tools did not spark joy.<\/h6>\n<h2 class=\"wp-block-heading\">Why we wanted to move<\/h2>\n<p>While the gap between Cyber-Duck\u2019s previous tools and our needs wasn\u2019t a problem, we knew<strong> it could be better<\/strong>. We were on the lookout for a tool that could lift our clients\u2019 experience, give more transparency, and boost collaboration.<\/p>\n<p>That\u2019s when we heard about ClickUp. It\u2019s a flexible, configurable, <a href=\"https:\/\/clickup.com\/blog\/best-project-management-tools\/\">project management tool<\/a> that could help us collaborate with our clients. We liked the look of functio<span data-void-detect=\"true\">nality, such as:<\/span><\/p>\n<ul>\n<li><span data-void-detect=\"true\">A wealth of integrations with tools like Harvest<\/span>, InVision and <a class=\"ql-link\" href=\"https:\/\/clickup.com\/integrations\/bitbucket\" rel=\"noopener noreferrer\" target=\"_blank\">BitBucket<\/a><\/li>\n<li>List, Calendar, Kanban (Board), and custom <a class=\"ql-link\" href=\"https:\/\/clickup.com\/features\/views\" rel=\"noopener noreferrer\" target=\"_blank\">views<\/a><span data-void-detect=\"true\"> of our tasks<\/span><\/li>\n<li><a class=\"ql-link\" href=\"https:\/\/clickup.com\/features\/custom-fields\" rel=\"noopener noreferrer\" target=\"_blank\">Custom Fields<\/a><span data-void-detect=\"true\"> and status lists\u00a0<\/span><\/li>\n<li><a class=\"ql-link\" href=\"https:\/\/help.clickup.com\/hc\/en-us\/articles\/6310077597335-Add-an-Embed-view\" rel=\"noopener noreferrer\" target=\"_blank\">Embeds <\/a><span data-void-detect=\"true\">from Airtable, Keynote, social media, and much more<\/span><\/li>\n<li><a class=\"ql-link\" href=\"https:\/\/clickup.com\/features\/assign-comments\" rel=\"noopener noreferrer\" target=\"_blank\">Communication tools<\/a><span data-void-detect=\"true\"> like threaded responses, assigned comments, and custom notifications<\/span><\/li>\n<li><a class=\"ql-link\" href=\"https:\/\/clickup.com\/features\/views\" rel=\"noopener noreferrer\" target=\"_blank\">Box view<\/a><span data-void-detect=\"true\"> to monitor team workload on projects<\/span><\/li>\n<li><a class=\"ql-link\" href=\"https:\/\/clickup.com\/features\/task-templates\" rel=\"noopener noreferrer\" target=\"_blank\">Template<\/a><span data-void-detect=\"true\"> everything!\u00a0<\/span><\/li>\n<\/ul>\n<p>Our research meant we were confident that ClickUp offered us everything we need to manage our projects and collaborate with our clients.<\/p>\n<p class=\"has-text-align-center\"><iframe allowfullscreen=\"allowfullscreen\" class=\"giphy-embed\" frameborder=\"0\" height=\"270\" loading=\"lazy\" src=\"https:\/\/giphy.com\/embed\/PmABbbUe3IqUKSOIBV\" width=\"480\"><\/iframe><\/p>\n<h6 class=\"wp-block-heading\">We could already see a brighter future.<\/h6>\n<h2 class=\"wp-block-heading\">How our agency set up ClickUp<\/h2>\n<p>We set about implementing ClickUp. One of its best qualities is its flexibility \u2013 you can configure it to fit your needs. But powerful tools can mean a learning curve, so we wanted to be sure to start on the right foot.<\/p>\n<h3 class=\"wp-block-heading\">1. Exploration<\/h3>\n<p>We spent some time investigating ClickUp\u2019s features to make sure it met our needs. We explored its apps, plugins, and settings. We looked at how to organise our accounts, clients, projects, and teams, and how to set up the right permissions for each role or person. We played with the different views \u2013 Lists, Calendars, and Kanban boards \u2013 and the notification settings.<\/p>\n<h3 class=\"wp-block-heading\">2. Sandbox project<\/h3>\n<p>Once we had our heads around the product, we set up a dummy project. Now we could get hands-on with the apps, views, notifications, and functionality with a test project. We refined this until it fitted our needs perfectly. This then became \u2026<\/p>\n<h3 class=\"wp-block-heading\">3. Project template<\/h3>\n<p>We saved this as a project template, which would be the model for all our projects.<\/p>\n<p class=\"has-text-align-center\"><iframe allowfullscreen=\"allowfullscreen\" class=\"giphy-embed\" frameborder=\"0\" height=\"480\" loading=\"lazy\" src=\"https:\/\/giphy.com\/embed\/cIoZPitO8sMpAN2Fia\" width=\"480\"><\/iframe><\/p>\n<h6 class=\"wp-block-heading\">We saw the initial lift as an investment in our project management.<\/h6>\n<h2 class=\"wp-block-heading\">How we\u2019re migrating projects into ClickUp<\/h2>\n<p>At Cyber-Duck, we decided to migrate projects into ClickUp in two groups.<\/p>\n<h3 class=\"wp-block-heading\">1. New projects<\/h3>\n<p>All our new projects are now set up in ClickUp as new clients come on board, using our project template as a model.<\/p>\n<h3 class=\"wp-block-heading\">2. Existing projects<\/h3>\n<p>Migrating our current projects was a little more complex. We created a migration plan to transfer existing clients\u2019 projects into ClickUp. Many of our clients come from the finance, IT and government\/public sector, so they (and we) needed to be sure we migrated them in a way that kept their projects and data secure, and that the tool is certified with highest standards to achieve compliance.<\/p>\n<h2 class=\"wp-block-heading\">How our clients reacted<\/h2>\n<p>The reaction from our clients has been really positive! Tools as powerful as ClickUp can seem intimidating to newcomers, and we wanted to ensure a smooth transition. We helped our clients get onboard by walking them through the setup.<\/p>\n<p>Our clients love the new experience. They tell us it\u2019s easy and simple to keep up with their projects because of the notifications they receive, and they love the transparency they get into our work!<\/p>\n<p>It\u2019s great for us too, because we can share anything in ClickUp with a public URL when needed, so a client or stakeholder can access just that page. Its integration with <a href=\"https:\/\/clickup.com\/blog\/best-project-management-tools\/\">PM tools<\/a> like Harvest and Airtable. Timelines, Gantt charts, drag-and-drop task management, Custom Fields, and custom statuses: ClickUp has it all. And we can post meeting minutes as collaborative documents straight into ClickUp.<\/p>\n<p><strong>Our client team loves \u2026 <\/strong><\/p>\n<p>ClickUp\u2019s shareability, seamless client experience, and threaded comments, which keep conversations tidy. It\u2019s quick and easy for clients to see the status of any task, and to get high-level updates or more granular detail on sub-tasks. We can post updates for clients, they can post questions \u2013 it brings us together so we can collaborate.<\/p>\n<p><strong>Our designers love \u2026<\/strong><\/p>\n<p>The InVision integration! They can build a prototype in InVision, embed it straight into ClickUp, and create a view <em>just for that<\/em>. Other integrations we\u2019ve found handy are YouTube, Twitter, spreadsheets, Zoom, and <a href=\"https:\/\/clickup.com\/blog\/miro-alternatives\/\">Miro<\/a>.<\/p>\n<p><strong>Our developers love \u2026 <\/strong><\/p>\n<p>ClickUp\u2019s granular functionality, <a class=\"ql-link\" href=\"https:\/\/clickup.com\/integrations\/bitbucket\" rel=\"noopener noreferrer\" target=\"_blank\">BitBucket integration<\/a><span data-void-detect=\"true\">, plus the level of detail and powerful, customizable features that ClickUp offers. <\/span><\/p>\n<p><strong>And EVERYONE loves \u2026 <\/strong><\/p>\n<p>We now have one flexible, unified tool that keeps all of us and our clients on the same page.
